Recurring events let you schedule appointments that repeat at regular intervals. Instead of creating the same appointment manually each week or month, you set up the pattern once and AutoTalk generates all future occurrences for you.
When to use recurring events
Recurring events are useful for any appointment that happens on a predictable schedule, such as:
- Weekly therapy or coaching sessions
- Monthly check-ups or follow-up appointments
- Bi-weekly team meetings
- Daily recurring time blocks for specific services
Creating a recurring event
- Create a new event by clicking on a time slot in the calendar (or open an existing event for editing).
- Fill in the standard event details: client, service, employee, date, and time.
- Look for the Recurrence or Repeat option in the event form.
- Select a recurrence pattern:
- Daily — The event repeats every day at the same time
- Weekly — The event repeats on the same day each week (for example, every Tuesday at 10:00)
- Monthly — The event repeats on the same date each month (for example, the 15th of every month)
- Optionally, set an end date or a maximum number of occurrences to control how long the series continues. If you leave this open, the series will continue indefinitely until you stop it.
- Save the event.
Once saved, all occurrences of the recurring event appear on the calendar automatically.
Editing a recurring event
When you click on one occurrence of a recurring event and make changes, you will typically be asked how to apply the update:
- This event only — Your changes apply only to the single occurrence you selected. All other occurrences remain unchanged.
- This and following events — Your changes apply to the selected occurrence and all future ones. Past occurrences are not affected.
- All events — Your changes apply to every occurrence in the series, both past and future.
This flexibility means you can adjust a single appointment (for example, moving a session one hour later on a holiday week) without disrupting the rest of the series.
Stopping a recurring event
To stop future occurrences of a recurring event:
- Edit the recurrence settings and set the end date to today or a past date
- Or delete future events from the series by selecting "This and following events" when deleting
Past occurrences that have already taken place remain in the calendar as part of the client's appointment history.
Recurring events are especially valuable for businesses with regular clients. Setting up a weekly recurring appointment saves time and ensures the client's preferred slot is always reserved. If a client needs to skip a session, you can cancel just that single occurrence without affecting the rest of the series.
