Inviting Team Members

What you'll learn
  • How to invite new team members to your company using invite links
  • How to manage and revoke invite links
  • How invited members join your company
  • How to manage your team (kick or remove members)

AutoTalk allows company administrators to invite other users to join as team members. Instead of manually creating employee accounts, admins generate invite links that can be shared with anyone. When a recipient opens the link and accepts the invitation, they automatically join the company with the assigned role.

An invite link is a unique URL that you generate from the Team management page. Each link has:

  • Role -- The role the invited person will have when they join (Employee)
  • Label (optional) -- A friendly name to help you remember what the link is for (e.g., "Marketing team" or "Summer interns")
  • Max uses (optional) -- A limit on how many people can use the link. Leave blank for unlimited uses
  • Expiration date (optional) -- A date after which the link stops working. Leave blank for no expiration

Once generated, the link can be shared via email, messaging apps, or any other channel. The plaintext link is shown only once when generated -- make sure to copy it before navigating away.

  1. Open the sidebar and navigate to Empresa > Equipe (Company > Team).
  2. In the Invite Links section at the top, fill in the form:
    • Select a Role for the invited members.
    • Optionally add a Label, Max uses, or Expiration date.
  3. Click Generate invite link.
  4. The generated link will appear in a green box. Click Copy link to copy it to your clipboard.
  5. Share the link with the people you want to invite.
tip

Use descriptive labels for your invite links so you can easily track which link was shared with which group. For example, "Support team - Jan 2025" or "New hires".

Below the invite link form, you'll see a list of all active invite links. Each link shows:

  • The label (or link ID if no label was set)
  • The assigned role
  • The usage count (current uses / max uses), if a limit was set
  • The expiration date, if one was set

To stop a link from being used, click the Revoke button next to it. Revoked links cannot be used by anyone, even if they haven't expired or reached their usage limit.

How invitees join your company

When someone receives your invite link and opens it in their browser:

  1. If they are not logged in -- They see the company name and role, along with a button to log in. After logging in, they return to the invite page to accept.
  2. If they are already logged in -- They see a confirmation screen with your company's name, avatar, and the role they'll receive. They click Join Company to accept.
  3. After accepting, the new team member is redirected to the company selection screen where they can access your company's dashboard.

The new member will have the Employee role and will immediately appear in the team list with active status.

tip

If you need someone to join quickly, send them the invite link along with the signup page URL. They can create an account first, then use the invite link to join your company.

Managing your team

The bottom section of the Team page shows all employees in your company. For each employee, you can see their:

  • Name
  • Role (admin, employee)
  • Status (active, pending, kicked, left)

Available actions

ActionWhen availableWhat it does
KickEmployee is active and is not yourselfSets the employee's status to "kicked", removing their access to the company
RemoveEmployee has "left" or "kicked" statusPermanently deletes the employee record from the company
tip

You cannot kick yourself or kick the last admin of a company. This prevents accidentally locking everyone out of administrative access.

Roles and access levels

Invite links assign the Employee role, which gives access to inbox, calendar, clients, services, and employee settings.

Only Admin users can access the Team management page, generate invite links, and manage team members. The admin role cannot be assigned through invite links -- it must be configured separately.

For more details on how roles affect platform visibility, see Company roles.
